Anatomy of an inspection report
Shop header & branding
Your logo, shop name, phone, and address at the top. The customer sees your brand, not ours.
Vehicle identification
Year, make, model, trim, VIN, plate, mileage — captured from the VIN barcode scan at inspection start.
Inspector & timestamp
Certified inspector name, date, time, and location. Required for most state audit trails.
Color-coded pass/fail summary
Customer sees the bottom line at a glance — green pass, red fail, yellow recommended-repair.
Checkpoint detail
Every checkpoint listed with result, note, and photo (for fails). No fine print, no buried information.
Photo evidence inline
Failure photos embedded next to the corresponding checkpoint. No separate attachments, no links to click.
Recommended repair estimate
Optional: list of recommended repairs with estimated severity and urgency.
Sticker & fee
Sticker number (state-validated) and fee collected, displayed prominently on the report.
Why photo-embedded reports change customer behavior
Paper inspection reports summarize the result. They do not show it. Customers who receive a "fail — rear brake pads at 1/32" line on paper often push back because they cannot see what the inspector saw. That is where most refund disputes start.
A DVI report with the failure photo embedded next to the checkpoint removes that argument entirely. The customer scrolls down, sees the brake pad at 1/32, and the conversation shifts from "are you sure?" to "when can you fix it?"
Shops that switch tell us the photo-evidence workflow alone prevents 2-5 refund arguments per month. Over a year, that is thousands of dollars of avoided friction — on top of faster inspections and better compliance.
FAQ
How does the customer receive the report?+
By email and/or SMS the moment the inspection is finalized. The customer can also view the report in their browser from the email link — no download required.
Is the report branded with our shop's logo and info?+
Yes. Upload your logo once in Settings and every report uses your shop header. Customer-facing emails are also branded to your shop.
Can I customize what appears on the report?+
Yes. Owners control which checkpoints appear, which require photos, and whether recommended repairs are shown. Defaults are set for Virginia and New York state-compliance requirements.
What format is the report?+
PDF — universally readable on any phone, tablet, or computer. The same report also renders as a mobile-friendly web page for customers who prefer not to download.
Are old reports searchable?+
Yes. Search the inspection history by plate, VIN, last name, or date. Any past report is one click away — useful when a customer comes back six months later arguing about a fail.
Do the reports meet state retention requirements?+
All records are retained indefinitely. For VA VSP audits and NYS DMV audits, you can pull any historical inspection in seconds with full timestamps and photo evidence intact.
